 CALENDAR TIMELINE FOR OFFICERS OF THE NEW ENGLAND HISTORICAL ASSOCIATION

TASKS AND RESPONSIBILITIES OF OFFICERS OF NEHA BY CALENDAR DATE

  • JANUARY

§  Deadline for proposals for spring conference (received by VP) January 15

§  VP begins to organize spring conference program after January 15

§  Local Organizer for spring meeting works with Executive Secretary and Vice President to plan for fall conference (see document entitled, Responsibilities of Local Organizer

§  President consults with chair of Nominating Committee to make sure slate of candidates for spring meeting election is on track

  • FEBRUARY

§  VP submits final program to Executive Secretary and editor of NEHA News by February 1

§  Local Organizer for spring conference submits arrangements to Executive Secretary by February 1

§  Executive Secretary sends program for spring conference and information about arrangements to editor of the NEHA News after February 15

  • MARCH

§  President sets agenda for Executive Committee meeting (if held) for spring conference and distributes it to Executive Committee by March 15

§  Executive Secretary mails program to NEHA members and Secretary mails NEHA News to NEHA members by March 1

  • APRIL:          

§  Spring conference of NEHA

§  President presides over election of NEHA officers at spring conference (with assistance of Chair of Nominating Committee)

§  President presides over luncheon program

§  President delivers Presidential Address (optional) at spring conference

§  President presides over Executive Committee meeting at spring conference (held at discretion of President and EC)

§  Executive Secretary arrives early on Saturday of conference to work with local organizer to make sure arrangements are on track

§  Executive Secretary supervises the registration of conferees

§  Local Organizer works with Executive Secretary at spring meeting to make sure meeting operates smoothly

§  VP assumes Presidency after election at spring conference

§  Secretary sends out RFP for joint sessions (OAH, AHA) for following year, after spring conference

§  Following spring meeting, President thanks chairpersons of panels and solicits nominations for NEHA Graduate Student Prize

  • MAY              

§  Vice President sends nominations for NEHA Graduate Student Prize from fall conference to chair of NEHA Graduate Student Prize Committee

§  Executive Secretary reviews list of responsibilities for fall conference with Local Organizer

§  President submits AHA or OAH joint session by end of month, if Executive Committee in previous December recommends it

§  President will write letters to those spring conference panelists who did not attend the spring conference and did not inform their chair

 

  • JUNE 

§  Deadline for submissions for book award June 1      

§  The publishers distribute nominated books to Book Award Committee members after June 1

§  Deadline for proposals for fall meeting June 15 (VP)

·         JULY             

§  VP organizes fall program

§  Local Organizer for fall meeting works with Executive Secretary and Vice President to plan for fall conference (see document entitled, Responsibilities of Local Organizer, NEHA (4-13-06)

  • AUGUST       

§  VP sends final version of program by August 1 to Executive Secretary

§  Local Organizer for fall conference submits arrangements to Executive Secretary by August 1

§  Executive Secretary sends program for fall conference and information about arrangements to editor of the NEHA News after August 15

·         SEPTEMBER

§  President sets agenda for Executive Committee meeting for fall meeting (if it is to be held) and distributes it to Executive Committee by September 15

§  Executive Secretary mails program to NEHA members and Secretary mails NEHA News to NEHA members by September 1

 

  • OCTOBER    

§  Fall conference of NEHA, President presiding

§  President presides over luncheon program

§  Announcement of NEHA Book Award by President

§  Announcement of NEHA Graduate Student Prize

§  President presides over Executive Committee meeting at fall conference (held at discretion of President and EC)

§  Executive Secretary arrives early on Saturday of conference to work with local organizer to make sure arrangements are on track

§  Executive Secretary supervises the registration of conferees

§  Local Organizer works with Executive Secretary at fall meeting to make sure all works well

§  Immediately after fall meeting chair of Nominating Committee issues request to members of Nominating Committee to submit to her or him five names of potential candidates by December Executive Committee meeting

  • NOVEMBER

§  Following fall meeting, President thanks chairs of sessions and solicits nominations for NEHA Graduate Student Prize

§  President appoints membership of Book Award Committee and Graduate Student Paper Prize Committee by November 15

§  Executive Secretary posts membership of committees at NEHA web site after November 15

§  President will write letters to those fall conference panelists who did not attend the fall conference and did not inform their chair

§  President works with VP and Executive Secretary to generate agenda for December Executive Committee meeting; Executive Secretary mails agenda to Executive Committee by November 15

  • DECEMBER 

§  President presides over Executive Committee meets first Saturday of December

§  Executive Secretary mails “call for nominations” to 80 or so publishers for annual book award; publisher mail books to each Book Award Committee member

§  Vice President sends nominations for NEHA Graduate Student Prize from fall conference to chair of NEHA Graduate Student Prize Committee

§  Agenda may include:  approval of minutes from last Executive Committee meeting, setting of dates for future conferences, identifying sites for future conferences and local organizers, hearing reports from elected officers, hearing reports about activities of committees, approval of appointment of book review editor (if necessary), joint sessions (AHA, OAH)

§  Secretary takes minutes of meeting and distributes them to Executive Committee in a timely way

§  Executive Committee decides on whether to sponsor joint sessions with AHA and OAH
